Get Microsoft Authenticator for iPhone

Open the Apple App Store on your iPhone and search for “Microsoft Authenticator.” Check the app details before installing it. The official app is named Microsoft Authenticator and lists Microsoft Corporation as the developer.

Avoid download pages, ads, or instructions that ask you to install the app outside the App Store. If several results look similar, open the app’s full App Store page and verify the name and developer.

After installation, open the app and review the privacy notices and permission requests. Allow notifications if you expect to approve sign-in requests. Camera access is also needed when your employer, school, or Microsoft account displays a QR code for setup.

Set Up the App on Your iPhone

Keep the account’s setup page open on another device if possible. You may need your password, a QR code, or another verification method before the account can be added.

  1. Open Microsoft Authenticator on the iPhone.
  2. Tap the add-account button, usually shown as a plus sign.
  3. Select Work or school account for an organization-managed account. Select Personal account for a personal Microsoft account.

With number matching, the sign-in screen displays a number. Open Authenticator, select the pending request, and enter that same number. Never enter a number for an unexpected request. Some sign-in screens ask for a verification code instead of sending a notification. Open Authenticator, select the correct account, and enter the current code shown there. Fix Notifications and Verification Codes

If no approval prompt appears, open Authenticator directly. A pending request may be waiting even when the notification did not appear.

  • In iPhone Settings, find Notifications, select Authenticator, and confirm that notifications are allowed.
  • Make sure the iPhone has a working Wi-Fi or cellular data connection. Switch between them if one connection is unreliable.
  • Turn off Airplane Mode and check whether a Focus mode is silencing alerts.

If a verification code is rejected, confirm that you selected the correct account and entered the newest code before it changed. Set the iPhone’s date and time to update automatically, because an incorrect clock can cause time-based codes to fail.

Do not remove an account from Authenticator merely to test a notification problem. Removing it can leave you unable to sign in. First confirm that another approved verification method is available or ask the organization’s administrator for help.

Restore Access After Changing iPhones

Before changing iPhones, open Authenticator on the old device and look in its settings for cloud backup. On an iPhone, the official backup process uses iCloud and requires the recovery account shown by the app. Confirm that backup is enabled and has completed before erasing or trading in the old iPhone.

On the new iPhone, install the official app from the App Store. Sign in to the same Apple iCloud account and use the app’s recovery option with the same recovery account. Follow every prompt shown after recovery.

A restored account entry is not always ready for approvals. Work or school accounts may require you to sign in again, scan a new QR code, or register the new iPhone with the organization. Some personal-account features may also need fresh verification. Open each restored entry and complete any action-required message.

If the old iPhone is unavailable and no usable backup or alternate verification method exists, use the account provider’s official recovery process. For a work or school account, contact the organization’s IT or account administrator. Authenticator cannot bypass required identity checks or administrator controls.
